PERSONAL DATA PROTECTION LAW (PDPL) INFORMATION ABOUT

Eko International Aid Organization, the collection of your personal data in accordance with the law, to ensure that
it is stored and shared, and takes the highest possible level of security measures to protect your privacy.

Our aim; Pursuant to Article 10 of the “Personal Data Protection Law” numbered 6698, your personal data collected, the purposes
for which your personal data will be processed, to whom and for what purpose it will be transferred, is to inform you in the most transparent way about the methods of gathering, legal reasons and your rights.

a) Data Controller

Pursuant to the Personal Data Protection Law No. 6698 (“PDPL”), your personal data; As the data controller, it is collected and processed by the Eko International Aid Organization (“EIAO”) within the scope described below.

b) Your Personal Data Collected

Based on the membership relationship with the Association, we process the following personal data within the

scope of the relevant legislation and the Association’s by-laws:

Identity Information: Name, surname, TR ID number, date of birth.

Contact Information: Mobile phone number, E-mail.

Workplace Information: Information about the institution and position you work for, which you optionally submit within the scope of the application form you filled in as part of the membership of the association.

Educational Information: Information about the school and department you graduated from/currently studying, which you submitted optionally, but not necessarily, within the scope of the application form you filled in as part of the membership of the association.

In the text, to the extent that the data listed above belong to our real person members and real person representatives of our legal person members, they will constitute personal data within the scope of PDPL, and this information will be referred to as “Personal Data”.

c) For what purpose the Personal Data will be Processed

Your personal data are processed for the purposes stated below:

-Carrying out activities in line with the purposes and working subjects specified in the Association’s Bylaws
-Organizing, managing and conducting activities and related processes for the members of the association or their
representatives, such as general assembly meetings, working group meetings, commission meetings, summits, agenda meetings, other member meetings,
-Ensuring communication between the association and the members regarding membership rights and obligations,
and fulfilling the relevant rights and obligations,
-Giving information about the promotion of the association and the events held,
-Determination and implementation of the activities and services of the Association, execution of service policies,
-Strengthening internal communication and cooperation within the association,
-Execution of reporting activities within the association,
-Informing members within the scope of association activities,
-Ensuring the execution of the security and inspection of all venues and facilities belonging to or allocated
to the use of the association,
-Submission of necessary information and documents to these institutions, organizations or courts upon the
request of administrative institutions and organizations and courts,
-Keeping the books and records required by the Association within the scope of the legislation, reporting,
complying with the information obligations, fulfilling the requirements of the contracts,
-Fulfilling obligations pursuant to the Associations Law No. 5223, Associations Regulation and other legislation provisions,
-Execution of the legal processes related to the members,
-Information processing requirements, system structure, necessity of information processing support services, copying / backing up to prevent data loss.
-Measuring and increasing member satisfaction, receiving your opinions and suggestions about complaint management,
new projects and events, receiving your problem/error notifications, informing you about projects and events, your complaints and requests,

d) To Whom the Processed Personal Data Can Be Transferred and For What Purpose

The Association will be able to transfer your Personal Data to the following persons, in the form and situations stated below, in accordance with the basic principles and conditions stipulated by PDPL:

Within the scope of the membership of the association, if it is foreseen within the scope of any legislation in force during the period of processing of personal data, including the Associations Law No. 5223 and the Associations Regulation, or if it is necessary to share such data in order to fulfill a stipulated obligation: Your personal data will be shared with the relevant institutions and organizations so that the association can fulfill its legal or legal obligations and in a limited way.

In case you take part in association organs in addition to membership of the association or real person representation of a legal entity member; Your Identity Information, Contact Information and professional information,
in order to fulfill various obligations in the Law of Associations and secondary legislation: It will be shared with the Provincial Directorate of Associations and other relevant public institutions and organizations due to legal reasons that the association, which is the data controller, is required to fulfill its legal and legal obligations.

The association receives services from third parties regarding the sending of mass e-mails, and in order to send you
e-mails that will inform you about the activities of the association and the activities carried out, within the scope of the association membership, your E-mail addresses will be shared with the agency from which the service is received at the time of sending, provided that your fundamental rights and freedoms are not harmed, within the scope of the legitimate interest of the association.

Since we work with organization companies outside the association from time to time in order to provide various activities and services such as general assembly meetings, working group meetings, summits, board meetings, other
member meetings organized within the body of the association; the name and surname of the persons who will attend the event, in order to organize the events and to provide the participants with materials such as the event ID cards; It will be shared within the scope of the legitimate interest of the association, which is the data controller, provided that it does not harm your fundamental rights and freedoms, with the organization firm authorized by the association in terms of certain activities.

Although no particular data transfer is made to the relevant companies, in order to provide information technology services within the association, we work with information technology companies outside the association; Based on the legal reason that data processing is mandatory for the legitimate interests of the association, provided that it does not harm the fundamental rights and freedoms of our members (or natural person representatives of our legal entity members); Within the scope of providing these services, these companies can access the servers and programs used by the association from time to time in order to provide technical support, and indirectly in this context, the data under these programs. However, it is not possible for these companies to transfer the data to their own systems or to process and store this data by them.

Member’s rights or obligations; In case of any dispute regarding membership in the association, your Personal Data
to the extent and limited to the extent related to the relevant dispute; with the association’s lawyers, consultants and relevant judicial authorities and enforcement authorities; Data controller may be shared within the scope of being
mandatory for the establishment, use or protection of the rights of the association.

In case it is necessary for the Association to perform its activities within the scope of the above-mentioned data
processing purposes and the Association’s Bylaws; limited only to these, with third parties residing in the country
such as consultants, financial advisors, auditors, from whom the association receives services, support and consultancy;
Provided that it is necessary for the establishment, use or protection of the rights of the association and does not harm your fundamental rights and freedoms, it may be shared within the scope of the legitimate interest of the
association which is the data controller.

In addition to the ones listed above; In order to fulfill the legal and/or legal obligations under the legislation in
force at the date of the relevant transaction or request, your Personal Data, which will be requested by the authorities,
when necessary or in case of such a request from official institutions, with the relevant institutions and organizations
or judicial bodies; may be shared for the purpose of fulfilling legal or legal obligations.

e) Method and Legal Reason for Collecting Personal Data

Your personal data, during the membership application to the association, physically or within the scope of the Association’s Bylaws and the application form filled out on the website of the association at www.e-iao.com; through documents submitted physically or transmitted electronically regarding membership to the association; In addition, within the scope of various communications with the association, (by phone or e-mail) through the information given to the officials of the association; are collected and processed verbally or in writing or electronically.

In this context, your Personal Data; Carrying out activities in line with the objectives and working subjects specified
in the Association’s Bylaws, such as general assembly meetings of the association, working group meetings, summits,
board meetings, other member meetings; Organization, management and execution of activities and related processes for the members or representatives of the association, communication between the association and the members regarding the membership rights and obligations and fulfillment of the related rights and obligations, execution of the reporting activities within the association, upon the request of administrative institutions and organizations and courts, the necessary information and documents are submitted to these institutions, organizations or courts, the books and records required to be kept by the association within the scope of the legislation, and the provisions of the Associations Law No. 5223, Associations Regulation and other legislation; within the scope of fulfilling the obligations, it is compulsory for the association, which is the data controller, to fulfill its legal obligations, as per article 5/2(d) of the PDPL, -Again; communication with members, promotion of the association and information about the activities carried out, determination and implementation of the activities and services of the association, execution of service policies, strengthening of communication and cooperation within the association, informing the members within the scope of the activities of the association, ensuring the execution of the security and inspection of all facilities of the association; for the purposes of copying/backing up to prevent data loss, provided that it does not harm the fundamental rights and freedoms of our members(or natural person representatives of our legal entity members) as per article 5/2(g) of the PDPL; Data processing is mandatory for the legitimate interests of the association, 

-In addition; In order to carry out the legal processes related to the members, it is processed within the scope of legal reasons that data processing is compulsory for the establishment, exercise or protection of the right as per article 5/2(f) of the PDPL.

The Association, in the processing of your personal data; notably the Constitution of the Republic of Turkey, international conventions to which our country is a party, PDPL, secondary legislation and guidelines and policy decisions published by the “Personal Data Protection Board”; complies with the data processing principles and obligations specified in the relevant legislation.

f) Rights of the Personal Data Owner Enumerated in Article 11 of the Law No. 6698

As a relevant person under the PDPL, within the framework of the PDPL and other applicable legislation:

-To learn whether your Personal Data is processed,
-If your Personal Data has been processed, requesting information regarding this,
-To learn the purpose of processing personal data and whether they are used in accordance with their purpose,
-If your personal data is incomplete or incorrectly processed; requesting their correction and requesting notification
of the transaction made within this scope to third parties to whom personal data has been transferred,
-Within the framework of the conditions stipulated in the PDPL legislation; to request the deletion or destruction of
your personal data and to notify the third parties to whom the personal data has been transferred,
-Objecting to the emergence of a result against you by analyzing the processed data exclusively via automated systems,
-If you suffer damage due to the unlawful processing of personal data, you have the right to demand the elimination of this damage.

g) Application Methods to the Association within the Scope of Your Rights

Your request regarding the exercise of your above-mentioned rights; In accordance with the “Communiqué on PDPL and the Procedures and Principles of Application to the Data Controller”, in Turkish, in written form and with a wet signature or; by using the registered e-mail (KEP) address, secure electronic signature, mobile signature or the e-mail address previously notified to the association and registered in our system; you can forward it. In the applications, only the applicant will be informed and it will not be possible to obtain information about other family members and third parties. The association reserves the right to verify your identity before answering.

In your application;

1) Your name, surname and, if the application is written, your signature,
2) For citizens of the Republic of Turkey; Your TR ID number, your nationality if you are a foreigner, your passport number or your ID number if any,
3) Your settlement or workplace address, which is the basis for notification,
4) Your e-mail address, telephone and fax number, if any, based on the notification,
5) The subject of your request,

It is obligatory to include information and documents related to the subject, if any. Your applications that you want to make in writing; You need to hand over the necessary documents to the address “Eminönü Mercan Mahallesi Çakmakcılar Yokuşu Büyük Valide Han 3. Kemer Orta Floor Room No:6 Fatih/İstanbul” of the association that is the data controller.

According to the nature of your request, information and documents that will allow identification must be
provided to us completely and correctly.

In the event that the requested information and documents are not provided as required; There may be disruptions in the full and qualified conduct of the researches to be carried out by the association based on your request. In that case, the association declares that it reserves its legal rights. For this reason, your application must be sent completely, according to the nature of your request, and in a way that includes the information and documents required for identification.
